Business Terms

WEDDINGS AT EAST LODGE COUNTRY HOUSE HOTEL: TERMS OF BUSINESS
These terms form part of your contract with East Lodge Country House Hotel.  If your wedding is after 2011, there will be an increase in price. East Lodge reserves the right to reduce the bedrooms available if they become unserviceable for any reason.
RESERVING THE DATE
The date will be confirmed on payment of a non-refundable/non-transferable deposit of £750.00. Bookings will be held for 7 days after which time the booking will be automatically released if the deposit has not been paid.
A further non-refundable deposit of £3000.00 is required 18 weeks before the function date.
CHARGES
All wedding packages include Room hire, reception drinks as specified, 3 course wedding breakfast, coffee, house wine with the meal & sparkling wine for the bridal toast. “Exclusively Yours” weddings include, all available bedrooms (normally 12), buffet for all guests during the evening, dance floor and the East Lodge resident disco (No disco for Silver Package).  
Receptions with evening functions are only available on an exclusive use basis. For “Exclusively Yours” package prices see the wedding tariff.
Prices include VAT at 20%. Any increase in duty will be charged to the client
Incidental bar drinks are not included in the package price.
NUMBERS:
Daytime wedding functions: 12.00 – 4.30pm (Monday – Thursday)
• Up to 42 adults included. Charges will be as outlined in the Wedding Tariff.
• The latest time for the wedding breakfast service is 2:00p.m. The restaurant, hotel & grounds must be vacated by 4.45 p.m.
• For numbers less than 42, please ask about availability.
Exclusive Dinner Reception (Silver Package)
• A party size of 24 adults is included in the charges. Full terms are in the Wedding Tariff. This function is timed to end at 11.00p.m.
Daytime & evening function: Saturday (Platinum Package)
• A party size of 60 adults is included in the charges. Up to 30 “evening only” guests are included. Full terms are in the Wedding Tariff.
• Wedding receptions that include a Saturday evening function have 2 nights accommodation included in the package.
Daytime & evening function: Monday – Friday (Gold Package)
• A party size of 50 adults is included in the charges. Up to 30 “evening only” guests are included. Full terms are in the Wedding Tariff.
Additional evening guests
• Additional guests for your evening function are limited to the number of adult guests attending the wedding breakfast plus up to an additional 30 guests, always subject to an absolute total number of 90. Not applicable to the Silver package.
Small & Intimate weddings
• Limited to a maximum of 24 guests. While the wedding party will have exclusive use of a private dining room there will inevitably be other guests in the hotel, therefore the offer is restricted to dining and does not include music or dancing.  Access to other areas of the hotel will be restricted. No accommodation is available with this package.
MARQUEE
For larger weddings, a marquee is available and can accommodate up to 120 guests. The “Exclusively Yours” package includes 100 guests.
CHILDREN
We are happy to welcome children but they must be under personal adult supervision at all times. Where 5 or more children are included, a professional, fully accredited Childcare Service can be provided. See separate detailed leaflet for charges.
ACCOMMODATION
Bedrooms are only available from 3.00pm on the day of arrival. The entire hotel and all the bedrooms are strictly non-smoking. East Lodge reserves the right to apply additional charges to the client to cover damage or additional extra cleaning (e.g. sickness) plus cost of replacing damaged items. Guests who choose to smoke in bedrooms will automatically incur an additional charge of £500.00. With the exception of 1 room all bedrooms are for a maximum of 2 people. Any damage or outstanding room accounts will be charged to the function organiser’s account.
WEDDING DECORATIONS
Any additional decorations, including table decorations must be approved by the Hotel management. Naked flame candles are not permitted unless in a flameproof holder. The hotel will not accept confetti. Please use rice.
GUESTS PROPERTY
The company does not accept responsibility for the property of customers or their guests.
TIMINGS
Exclusive use functions with evening entertainment are timed to end at 11:30. Please note that bars will close at 11.30 for all guests both resident and non-resident. Non-resident guests must vacate the hotel before midnight. The entrance to the hotel drive is closed and locked at midnight.
East Lodge is a rural location and taxis need to be pre-booked well in advance. Make sure your guests understand the finish times.
CORKAGE
East Lodge has an extensive wine list. No wines, spirits, foods or other consumables may be brought into the Hotel premises. There are no arrangements for guests to provide their own wine or drinks. Any wine brought into the hotel will incur a service charge of £25.00 per bottle of wine or £35.00 per bottle of champagne. The service charge will be added to guest room accounts.
PAYMENT
Final payment of the reception is required a minimum 21 days before the wedding day. The numbers agreed at this stage are the numbers charged. Payment must be by cheque or debit card. There will be a facility fee of 2.5% for all payments made by credit card.
CANCELLATION
In the unlikely event of cancellation in addition to all deposits being non-refundable and non-transferable, the following charges will be levied: -
 Over 6 months before the event   50% of the anticipated revenue based on the event tariff
 Less than 6months before the event  100% of the anticipated revenue based on the event tariff
Anticipated revenue is based on the numbers and the product ordered in the original reservation.
CANCELLATION BY EAST LODGE
The Hotel has the right to cancel the booking if (a) any part of the Hotel is closed or unavailable because of an event beyond the Hotel’s control. Or (b) the booking may, in the reasonable opinion of the Hotel, damage the reputation of the Hotel. Or (c) Either party becomes insolvent.
CHANGES
In order to protect against cancellation, we recommend you consider taking out appropriate insurance. The Company reserves the right to change prices quoted here, and menu content without prior notice.
